SOP: How to Process Inbound Shipments from 3PLs After Assembly

Overview

This article outlines the full process of receiving assembled goods from 3PLs via copackers, using the Luminous system. It includes steps from initial purchase orders through to receiving finished goods in your warehouse.


Step-by-Step Instructions

1. Create a PO in Luminous

Initiate a Purchase Order (PO) in Luminous and send it to your supplier.

2. Receive Raw Materials at Copacker

When shipments arrive at the copacker, log them manually in Luminous by creating a receiving report. This documents the inbound stock.

Tip: Even if the copacker handles receiving, a report must still be entered in Luminous. Either have the copacker enter it directly or submit it internally on their behalf.

3. Send Assembly Order to Copacker

Create and send an Assembly Order to the copacker.

4. Complete the Assembly Order

Once assembly is finished, mark the Assembly Order as completed in Luminous. This deducts raw materials and adds finished goods to the copacker’s inventory.

5. Create a Transfer Order

Create a Transfer Order to move the finished goods from the copacker to your warehouse.

6. Ship the Transfer Order

Mark the associated Sales Order (SO) as shipped. This correctly deducts inventory from the copacker’s warehouse.

7. 3PLs Receive Inventory

3PLs will receive the goods on your behalf.

8. Import and Reconcile the Inbound Shipment

Import the inbound shipment from the 3PL into Luminous. Reconcile it to the correct Transfer Order—not the PO—since the PO was already received at the copacker.


Additional Tips

  • For security, create restricted Luminous user accounts for copackers if they will enter data directly.

  • Ensure both the Sales Order and Purchase Order are generated for Transfer Orders in Luminous.

  • Use the Import Inbound Shipments tool in Luminous to reconcile 3PL receipts.
