How to Bulk Receive SKUs and Quantities Using a Supplier Packing Slip

Overview

Follow this process to bulk import SKUs and quantities into Luminous using a packing slip from your supplier. This is useful when you receive a large shipment and want to update your inventory in one go.

Step 1: Create a Purchase Order

  1. Go to Inventory in the left-hand menu.

  2. Click Purchase Orders.

  3. Click + New Purchase Order or open an existing one that matches your incoming shipment.

  4. Add the relevant SKUs and quantities.

  5. Save the purchase order (e.g., PO #Test).

Step 2: Prepare Your Import File

Use a spreadsheet with at least these two columns:

  • SKU

  • Quantity

Step 3: Create the Shipment

  1. In the Purchase Orders tab, click into the PO you just created.

  2. Scroll down and click Shipments > + Create Shipment.

  3. Fill in the following fields:

    • Reference Number: e.g., POTest-Shipment1

    • Status: Select "Shipped"

    • Ship Date: Choose the correct date

    • Destination Warehouse: Select the correct warehouse (e.g., Midtown Umbrella)

Step 4: Import Items from the Packing Slip

  1. Click Import Items on the Shipment screen.

  2. Upload your supplier’s file (Excel or CSV).

  3. Make sure SKUs and quantities are mapped correctly.

    • If using your own format, select Supplier Packing and map columns.

  4. Click Import, then Confirm Import.

You’ll now see the SKUs and quantities listed on the Shipment screen.

Step 5: Add Estimated Shipping Costs (Optional)

  • Enter freight costs (e.g., $1,000) and duties under Extra costs field.

  • Click Save.

  • Saving the shipment does not add stock to inventory—it marks it as “in transit.”

Step 6: Receive the Shipment

  1. Go to Inventory > Receiving Reports.

  2. Click + Create Receiving Report.

  3. Fill in:

    • Received By: Your name or warehouse staff

    • Received Date

    • Warehouse Location: Match the destination warehouse

  4. Change Reference Type to “Shipment Reference Number.”

  5. Paste the reference number (e.g., POTest-Shipment1).

  6. Click Add Shipment Items.

Items from the shipment will appear.

Step 7: Update Final Costs and Submit

  1. Extra costs will autofill from the extra costs that have been added to shipment.

  2. Update extra costs if actual cost has changed.

  3. Add duties or additional landed costs.

  4. Click Submit to finalize.

This will officially add the stock to your inventory, you can view inventory has been moved to onhand by looking at the stock page.

Step 8: Confirm Inventory is Updated

  • Go to Inventory > Purchase Orders, open PO #Test, and check that received quantities are updated.

  • Go to Inventory > Stock, filter by your warehouse or SKU to confirm items are now in stock.
