SOP: Smart Fulfillment Settings: How to Configure, Test, and Use Them in Luminous

Overview

Smart Fulfillment Settings in Luminous allow teams to control when and how Fulfillment Orders (FOs) are generated from Sales Orders. These tools support a variety of use cases, from fully automated order processing to more manual, controlled workflows. This guide covers some of the key smart fulfillment settings, how to test them, and how to apply them in real-world scenarios.


Smart Fulfillment Settings

To find these settings, navigate to Shipping > Shipping Admin > Smart Fulfillment Settings.

1. Auto-Generation Trigger

This setting determines when a Fulfillment Order is created after a Sales Order is posted.

  • Manual – No FO will be created automatically; the user must create it manually.

  • Immediate – FOs are created automatically after a short delay (e.g. 5 minutes).

  • Scheduled – FOs are created on a daily basis, depending on the schedule set by the system.

Example: If the trigger is set to Immediate with a 5-minute delay, Luminous will generate a FO 5 minutes after the Sales Order is posted.

2. Delay FO Generation by X Minutes

Used in conjunction with Immediate or Scheduled triggers. This delay allows for any post-order edits before the FO is created. The minimum is 5 minutes.

3. Always Create Fulfillment Orders Even When No Stock is Available

Controls whether Luminous will generate an FO if there’s insufficient stock in the warehouse group priority list.

  • Enabled – FO is always created regardless of stock availability.

  • Disabled – FO is only created if sufficient stock is available.

  • Default – Defers to the channel-level smart fulfillment setting.

4. Default Fulfillment Order Status

Sets the initial status of newly created FOs:

  • Pending

  • Planned

  • Awaiting Shipment

  • Shipped


How to Test Smart Fulfillment Settings

Step-by-Step Test Flow

  1. Set up your Smart Fulfillment Settings

    • Choose Immediate or Manual mode depending on what you want to test.

    • Set delay to 5 minutes if testing Immediate mode.

    • Enable or disable the "Always Create FO" setting to compare behavior.

  2. Post a Sales Order from your channel (e.g., Shopify)

    • Include both in-stock and out-of-stock items to see how splitting and stock logic applies.

  3. Wait for Auto Generation (if applicable)

    • For Immediate mode, wait 5 minutes.

    • Observe whether one or more fulfillment orders are created.

  4. Check FO Behavior

    • Use the Fulfillment Order tab to confirm FO creation.

    • Check if items split properly (in-stock vs out-of-stock).

  5. Push to Fulfillment Channel

    • Manually push the FO to ShipStation if in manual mode.

    • Confirm shipment status syncs back to Luminous.

  6. Test Manual FO Creation

    • For orders created when "Auto-Generation Trigger" is set to Manual.

    • Manually split items and test pushing only in-stock items.

  7. Try Editing or Unpushing

    • Edit FOs in Luminous and observe syncing behavior.

    • If needed, unpush and re-push to force sync.


Key Tips

  • The Fulfillment Order grid is the best place to manage split FOs and pick lists.

  • Use tags in the Sales Order grid to organize pick/pack stages.

  • If syncing fails, verify the ShipStation order has all required info.

  • Avoid editing orders directly in ShipStation—changes may not sync back.


Common Questions

Q: Why isn’t my fulfillment order generating?

  • Check if stock is available.

  • Ensure you’re not in Manual mode.

  • Wait the full 5-minute delay if using Immediate trigger.

Q: Can I split an order into multiple FOs?

  • Yes. Luminous supports manual and automatic FO splitting based on stock levels.

Q: Can I edit a FO after it’s created?

  • You can, but edits may not sync back to ShipStation unless unpushed and repushed.

Q: What happens if I delete a FO?

  • Deleting in Luminous does not automatically delete it in ShipStation. Always unpush first.
